How to Use REPS Hours
Everything you need to know about logging entries, tracking your pace, importing calendar events, and generating audit-ready reports.
Logging Entries
Tap the + button at the bottom of any screen to log a new entry. You'll choose between two entry modes:
AI Voice Entry PRO
Describe your work in plain language — by voice or text. The AI extracts the date, duration, property, category, and description automatically.
Quick Pick Entry
Select an activity, set the duration, and fill in details step-by-step. Great for routine entries where you know exactly what to log.
Every entry includes a date, duration, activity/category, property, and an optional description. Detailed descriptions strengthen your audit documentation — write what you actually did, not just a category name.
AI Voice Entry PRO
AI entry lets you describe your work naturally and have the app fill in the details. It's the fastest way to log entries when you're on the go. Speech-to-text is free for all users — the Pro upgrade unlocks the AI that parses your description into structured entry fields.
How it works
- Tap + and select AI Entry
- Tap the microphone to speak, or type your description
- The AI extracts the entry details and shows a confirmation card
- Review the details, edit anything that needs adjusting, and save
Tips for better results
- • Include the duration — "spent 2 hours" or "from 9 to 11 AM"
- • Mention the property name if you have multiple properties
- • Be specific — "replaced kitchen faucet at Oak St" works better than "did repairs"
- • If the AI gets something wrong, just tell it — "actually that was yesterday" or "change the property to Harbor View"
The AI learns your properties and categories over time. The more you use it, the better it gets at matching your descriptions to the right fields.
Quick Pick Entry
Quick Pick is a structured, step-by-step entry mode. It's ideal when you want to quickly select from your existing activities and properties.
Steps
- Pick an activity — browse by category or search. Tap to select.
- Set the duration — use a preset chip (30m, 1h, 2h, etc.) or enter hours and minutes manually.
- Fill in details — set the date, assign a property, add an optional description, and choose who logged the work.
You can also create new activities and categories directly from the picker if the one you need doesn't exist yet. Creating custom categories is a PRO feature — free users can log entries using the default categories.
Calendar Import PRO
Already tracking your real estate activities in your phone's calendar? Import those events directly into REPS Hours to avoid double-entry.
How to import
- Go to Settings → Import from Calendar
- Grant calendar read access when prompted
- Browse your calendar events grouped by day
- Tap an event to convert it into an entry — the date and duration are pre-filled from the calendar event
- Add the property, category, and description, then save
Good to know
REPS Hours only reads your calendar — it never writes to it or modifies your events. Events you've already imported are marked so you don't accidentally create duplicates.
Dashboard & Pace Tracking
The dashboard gives you a real-time view of your progress toward your annual hour goal.
Progress ring
Shows your year-to-date hours against your annual goal with a visual progress indicator.
Pace status
Tells you if you're on track, ahead, or behind — and how many hours per day/week you need to stay on pace.
Weekly trends
A chart showing your weekly hours over time so you can spot patterns and stay consistent.
Heat map
A year-at-a-glance view showing which days you logged hours. Swipe between months to explore.
Tap the pace card to open a detailed breakdown with weekly trend charts, projected year-end totals, and activity summaries.
Managing Properties
The Properties tab lets you organize your entries by property. Each entry is linked to a property so you can track hours per property and generate property-specific reports.
Adding a property
Go to the Properties tab and tap Add Property. Give it a nickname (e.g., "Harbor View Duplex") and optionally add the address. You can also create properties on the fly while logging an entry.
Active vs. inactive
If you sell a property or stop managing it, mark it as inactive. Inactive properties won't appear in the property picker when logging new entries, but all existing entries are preserved for your records.
Free vs. Pro
Free accounts can track one property. Upgrade to Pro for unlimited properties — essential if you manage a portfolio.
Reports & Export
REPS Hours can generate reports for your CPA, tax preparer, or your own records. Go to Settings → Export Report to get started.
CSV Export
A spreadsheet-friendly export of all your entries. Filter by tax year and property. Available to all users.
PDF Report PRO
A professionally formatted report organized by property and category with hour summaries. Ideal for sharing with your CPA.
Reports are generated on your device and can be shared via email, AirDrop, or any other sharing method your phone supports.
Tracking Goals
REPS Hours supports three IRS hour thresholds. Your goal determines the target shown on your dashboard and pace calculations.
REPS Qualification
The full Real Estate Professional Status threshold. You must log 750+ hours in real estate activities.
Material Participation
The most common material participation test. You need 500+ hours of active involvement per rental activity.
Short-Term Rental
For Airbnb/VRBO hosts with average stays of 7 days or less. 100+ hours with no one else contributing more time.
Change your goal anytime in Settings → Tracking Goal. Your logged entries are never affected — only the dashboard target changes.
Reminders
Consistent logging is the key to a defensible hour log. Set up weekly reminders so you never fall behind.
Go to Settings → Reminders to choose which days and what time you'd like to be reminded. The app sends a local notification on your chosen schedule — no account or internet connection required.
Tip
Set a reminder at the end of each workday (e.g., 5:00 PM on weekdays) to log your hours while they're still fresh. The IRS values contemporaneous records — entries logged the same day are far more credible than entries reconstructed weeks later.
Logged-By Participants
If you and your spouse both contribute hours toward your real estate activities, you can track who performed the work using the Logged By field on each entry. Free users can select from the default participants. Pro users can add custom participant names in Settings → Logged-By Participants.
When logging an entry, select the person who did the work. This is especially useful for joint filers where one spouse qualifies for REPS but both contribute hours toward material participation.
Reports can be filtered by participant, making it easy to show your CPA exactly how many hours each person contributed.
