REPS Hours ("we," "our," or "us") provides a mobile application and website designed to help real estate professionals track and document hours for IRS Real Estate Professional Status qualification. This Privacy Policy explains how we collect, use, share, and protect your information.

By using REPS Hours, you agree to the practices described in this policy. If you do not agree, please do not use the app or website.

1. Information We Collect

Account Information

  • Email address
  • Display name (if provided via Google or Apple Sign-In)
  • Authentication provider (email/password, Google, or Apple)
  • Firebase user ID

Activity Data You Provide

  • Time entries (date, duration, description/notes)
  • Property information (name, address, type)
  • Activity categories
  • Participant names
  • File attachments (photos and documents you upload)

Preferences and Settings

  • REPS qualification goal selection
  • Reminder preferences (day, time)
  • Calendar sync settings
  • Tax year selection

Automatically Collected Data

  • App usage events (entries saved, features used) via Firebase Analytics
  • Crash reports and error logs via Firebase Crashlytics
  • App performance metrics via Firebase Performance Monitoring
  • Device type and operating system version

Data You Choose to Import

  • Google Drive: If you choose to import data from Google Drive, we access your spreadsheets with read-only permission. We do not modify or delete any files in your Google account.
  • Device Calendar: If you enable calendar sync, we read your calendar events to suggest time entries. We do not modify your calendar.

2. How We Use Your Information

  • Provide, operate, and improve the REPS Hours service
  • Store and sync your time entries and property data across devices
  • Generate reports and exports for tax documentation
  • Process subscription purchases and manage your account
  • Send transactional emails (e.g., PDF reports to your email)
  • Deliver local reminder notifications you configure
  • Diagnose technical issues and improve app stability
  • Analyze aggregate usage patterns to improve the product

3. How We Share Your Information

We do not sell, rent, or trade your personal information. We share data only with the following service providers who process it on our behalf:

  • Firebase (Google Cloud) — Authentication, database storage, file storage, analytics, crash reporting, and performance monitoring. Data is stored on Google Cloud servers in the United States.
  • RevenueCat — Subscription and in-app purchase management. Receives your Firebase user ID and purchase history from Apple App Store or Google Play.
  • Brevo (formerly Sendinblue) — Transactional email delivery for PDF report exports sent to your email address.
  • Apple / Google — Payment processing for subscriptions through their respective app stores. We do not receive or store your payment card information.

We may also disclose information if required by law, subpoena, or legal process, or to protect our rights, safety, or property.

4. Data Storage and Security

Your data is stored in Firebase (Google Cloud Platform) in the United States. All data is transmitted over encrypted connections (TLS/HTTPS). Firestore security rules ensure that only you can access your own data — no other user can read or modify your entries, properties, or settings.

File attachments are stored in Firebase Storage under your unique user path and are accessible only to your authenticated account.

The app supports offline use. Data is cached locally on your device and synced to the cloud when connectivity is restored.

5. Data Retention

We retain your data for as long as your account is active. Time entries and related data are organized by tax year and retained indefinitely to support multi-year tax documentation needs.

If you delete your account, all associated data — including entries, properties, settings, and file attachments — is permanently deleted from our servers. This action is irreversible.

6. Your Rights and Choices

  • Access and export: You can export your data at any time via CSV (free) or PDF (Pro) from the app's Settings screen.
  • Correction: You can edit any entry, property, or account information directly in the app.
  • Deletion: You can delete individual entries or your entire account from Settings. Account deletion removes all data from our servers.
  • Revoke access: You can disconnect Google Drive access from your Google Account settings at any time. You can revoke calendar access from your device settings.
  • Opt out of analytics: Crash reporting and analytics are used solely to improve the app. Contact us at [email protected] if you'd like to opt out.

7. Children's Privacy

REPS Hours is designed for real estate professionals and is not intended for use by anyone under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.

8. Third-Party Links

Our app and website may contain links to third-party websites or services (such as the App Store, Google Play, or external resources). We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies.

9. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you through the app or by updating the effective date at the top of this page. Your continued use of REPS Hours after changes are posted constitutes acceptance of the updated policy.
